Position Summary:
The HR Compliance Coordinator is responsible for ensuring the organization remains compliant with all applicable federal, state, and local employment regulations. This role audits and maintains employment authorization documentation (including I-9s), monitors time and attendance compliance, and supports training and development compliance through auditing training matrices, OJT documentation, and audit readiness. This position also develops, documents, and maintains HR Standard Operating Procedures (SOPs) to ensure consistency, compliance, and process clarity across HR operations.
Key Responsibilities:
  • Compliance & Regulatory Monitoring
    • Monitor and stay current on federal, state, and local employment laws and regulations
    • Partner with HR leadership to update policies and procedures as regulations change
    • Support compliance audits and respond to regulatory inquiries
  • Employment Authorization & I-9 Management
    • Audit, maintain, and ensure accuracy of Form I-9s and employment authorization documents
    • Conduct internal audits to ensure compliance with USCIS requirements
    • Track document expiration and coordinate timely reverification
    • Maintain secure and compliant storage and retention of work authorization records
  • Time & Attendance Compliance
    • Audit employee time and attendance records for compliance with wage and hour laws
    • Identify discrepancies, trends, or compliance risks and escalate as needed
    • Partner with Payroll and Operations to resolve issues and improve processes
  • Training & Development Compliance
    • Audit the training matrix for all roles
    • Track training completion, certifications, and required retraining
    • Audit On-the-Job Training (OJT) checklists and documentation for accuracy and completion
    • Partner with department leaders to ensure training compliance for regulatory, safety, and role-based requirements
  • HR SOP Development & Process Documentation
    • Develop, write, and maintain HR Standard Operating Procedures (SOPs) for key HR processes
    • Ensure SOPs align with legal requirements, internal controls, and best practices
    • Partner with HR leadership and cross-functional teams to document current processes and improve workflows
    • Maintain version control and update SOPs as regulations, systems, or processes change
    • Support training of HR team members on SOP adherence and process improvements
  • Audit & Documentation Management
    • Conduct routine internal audits of HR compliance programs
    • Maintain accurate, audit-ready documentation
    • Develop compliance tracking reports and dashboards
    • Identify gaps and recommend corrective actions
  • Other Duties
    • Support the company’s risk management initiatives by identifying compliance gaps, recommending corrective actions, and tracking mitigation efforts.
    • Partner with leadership to proactively reduce organizational risk through training, policy enforcement, and process improvement.
    • Performs other related duties as assigned to meet the ongoing needs of the organization.
    • Requires occasional physical activity throughout shift (except breaks and lunch) such as walking, sitting, standing, bending, stooping, squatting, reaching, handling, near/far vision, pushing, pulling, carrying, and lifting objects weighing up to 50 lbs.

Education & Experience:
  • 2+ years of experience in HR, Compliance, or HR Operations
  • Working knowledge of federal and state employment laws (I-9, FLSA, wage & hour, record retention)
  • Experience auditing HR documentation and employee records
  • Strong attention to detail and documentation accuracy
  • Comfortable working with HRIS / time & attendance systems (ex: Paycom or similar)
  • High level of confidentiality and professionalism
  • Bachelor’s degree in human resources, Business Administration, or related field preferred; equivalent combination of education and experience considered.
